Managing Your Time with Ease – An Introduction

There are only so many hours in a day. Once you factor in sleep, your work commute and “me time”, you might feel stressed out. You have so much to do and you never seem to have the time. To top it off, you probably know someone that seems to have time to spare. He is always calm, cool and collected. He looks like he has never encountered stress in his life. What is he doing that you aren’t? What does he know that you don’t?

More importantly, can you do the same thing and become that person that seems to squeeze 30 or 40 hours out of each day… without stress?

The short answer is yes.

You can learn to use your time more productively. What happens with most people who can’t seem to manage their time efficiently is that they are trying to do too much. They have too much on their plates. There are activities and responsibilities crowding their to-do lists that they should delegate.

Email #1 – Welcome to Time Management – How to Plan Your day with Ease.

Hello and welcome to the series on time management. Being we all have 24 hours in each day, why is it some people get more accomplished during that time than others? I’m sure you have seen it – some people working feverously hard all day long, but at the end of the day accomplished less than a co-worker that worked at a slower much more relaxed pace. The answer? Good time management and the focus of this course.

Over the course of these 5 lessons, we will cover:

  1. SMART goal setting
  2. Creating and using a to do list
  3. Using a calendar effectively
  4. Doing set tasks on specific days
  5. Putting it all together

Before we go any further, let’s define just exactly what time management is for anyone reading this lesson that might not know: It is “The process of planning and controlling how much time to spend on specific activities or tasks.”

Planning how to spend your time not only allows you to get more done in a shorter amount of time, but also with less stress; with good time management you are fully aware of when certain tasks must be done, and you have allotted enough time to do them. Because time management is a key quality that employers like to find, it can lead to more and better opportunities for employment.

SMART Goal Setting

Getting things done starts with knowing what you need to do and when it must be done. Many people in business and their personal life use the SMART system as a way to not only set, but also reach their goals. For each goal you want to accomplish, it must be:

  • Specific – A goal must be clear and when setting it, it should answer the questions:
    • What do I want to accomplish?
    • Why is it important?
    • Who is involved?
    • What resources do I need?
  • Measurable – Without a goal being measurable, it is much more difficult to track progress and know when you are done. It should answer these questions as they apply to the goal:
    • How much?
    • How many?
    • How will I know when it is done?
  • Achievable – The goal must be realistic and within your capabilities to get it done, so it should answer these questions:
    • Do I have the skill to get it done?
    • Do I have all the necessary resources?
  • Relevant – In other words, is this goal in line with what you want to accomplish either personally or professionally? It should answer such questions as:
    • Is the time right?
    • Is it worthwhile?
    • Am I the right person to do the job?
  • Time-bound – Each goal must have a target date or a date in which it must be finished. It should answer these questions:
    • How much time do I have to get it done?
    • How much time will it take?
    • When can I start?

Knowing the answers to each of these questions as applicable, will set the stage for knowing clearly what must be done, what is needed to get it done, when it must be done.

That wraps it up for this first lesson. In the next lesson, we will talk about creating and using a to do list. Be sure to read that one.

4 Tips for Prioritising Tasks and Goals in Life

Most of us have some goals, whether short-term or long-term. They could be related to your work life, family life or even just your own personal development. No matter how many important tasks and goals you may have, there are ways you can prioritise and work out which ones you need to concentrate on first. Here are some tips for prioritising your tasks and goals.

  1. Write them all down

Get a piece of paper and write down a list of everything that you need to do or would like to achieve. You can split it into two columns if you find this works easier – tasks and not always the same as your goals. Avoid using a phone or other device to make the list, since this could leave you distracted by notifications and other websites.

  1. Rate the importance of each task or goal

Using a scale of 1-5 or 1-10, you can rate each of your goals and tasks based on how important you think they are. This will help you to figure out somewhat which tasks should be prioritised, but this isn’t the only factor which you will have to consider. When thinking about importance, consider the impact of doing and not doing a certain task or achieving a certain goal. This will help you to decide just how important the task is.

  1. Consider time frames and deadlines

On your list of tasks and goals, highlight or circle any which have a deadline attached to them over the next 12 months. This could be a project at work which you are due to complete soon, or a new initiative which you’ve promised will be rolled out by a certain date. On the other hand, you might have life goals such as improving your confidence or getting fitter. While these are unlikely to have set deadlines to them, you might want to consider a time frame and think about smaller related goals which you would like to meet by a certain date.

  1. Stay committed

Once you have decided which are the most important tasks and which have deadlines which need to be met, you then need to stay committed and constantly remind yourself of this. You can pin the list up at your desk, or have it in the front of your notebook. Whichever way helps you to stay on track is the best way.

Long Article: 8 Time Saving Hacks – 798 words

8 Time Saving Hacks Sample Content:

Do you feel as though you never have enough time in the day to do everything you need? Do you come to the end of your working day exhausted and feeling like you need another eight hours to complete your tasks? Whatever the situations you seem to be running out of time, here are some time-saving hacks that will help you to make the most of your time no matter what you’re doing.

  1. Create a daily list

This is a great way to keep yourself focused throughout the day when you have a lot going on. You can make a list in the morning, breaking it down into the different categories you’re dealing with. For example, if you have children then you might need to factor in their school routine. If you need to go shopping, there may be other errands you need to run before the shops close. A list at the start of every day can help you feel more in control of what you’re doing, but ultimately more focused and more likely to stay on track.

  1. Put your phone down

Time seems to run away with itself a lot quicker when we’re using our phones and other devices. Even if you pick up your phone every hour and check social media for five minutes, that’s an hour lost over a 12-hour period. However, most of us check our phones at least 18 times per hour, which is a lot of time you could have saved.

  1. Tidy as you go along

Do you often find yourself with a very messy house and not even time to clean up? Tidying as you go along means that you don’t end up with a giant overwhelming mess to clean, and it’ll help you to feel happy every time you come in and walk around your home. Whether it’s putting the dishes away, getting on top of the laundry pile, or just wiping away that bit of dust in the corner, tackle it as you see it rather than at the end of the week.

  1. Plan in advance

A lot of people waste time at the weekends thinking about what they need to do and then preparing to do it. If you start thinking about the weekend on Wednesday, you can plan ahead and know what you need to achieve. This could be waking up earlier to get some things out of the way before having fun, or setting yourself a flexible schedule for cleaning the house from top to bottom or getting ahead of some extra work.

How to Plan Efficiently to Minimize Time Wasting

Thanksgiving is a wonderful holiday, giving you the chance to spend time and give thanks with those you love. However, as joyous as the day can be, it can also prove to be extremely stressful!

If you’re looking to host the ultimate Thanksgiving party without the stress, it’s all in the planning. Here, you’ll discover how to plan efficiently to minimize time wasting.

Create a Master Shopping List

One of the most time-consuming tasks at Thanksgiving is shopping. There are a lot of things you are going to need, both for the meal and the decorations. Without adequate planning, your shopping trip could take much longer than it needs to. Plus, you may also forget important items if you haven’t got a list to hand.

Creating a master shopping list with all the things you’ll need is going to save you a lot of time. Spend a couple of days putting the list together. That way, you can go over it to check you have remembered everything. You can then do your Thanksgiving shopping in advance, ensuring you have everything in you’ll need on the day.

Keep It Simple

It might be tempting to host a lavish Thanksgiving, but when you’re super-busy this can really bump up those stress levels. Instead, keep it simple. If you are planning on putting up decorations, stick to a simple theme that won’t take days to create.

Try to keep the meal simple too. You could experiment by adding one or two new dishes. However, sticking to the classics that everyone loves will save you time and stress.

Create a Week-by-Week Plan

If you really want to plan your Thanksgiving efficiently, it’s a great idea to create a week-by-week plan. This will break down the tasks you can do ahead of time. For example, in the few weeks leading up to the big day, you can set aside specific days to shop, work on decorations and prep the food.

Break the tasks down into smaller ones so you can take your time and enjoy a more relaxing planning stage. Remember to factor in meal planning. Plenty of meal prep can be done in the days before Thanksgiving.

Ensure You Have the Equipment You’ll Need

You’re going to want to make sure you have all of the equipment you’ll need. This includes ensuring you have enough dishes, seating and any appliances you’ll need.

If you have appliances stored away, make sure you find them ahead of time. The last thing you’ll want to do when it comes to Thanksgiving is to spend time searching for the things you need. So, having them together in the same area will make them much easier to find on the day.

These are some of the best tips you can follow to enjoy a more relaxing Thanksgiving experience. The more you can plan and prep for in advance, the smoother the day will go. If you break your tasks down into smaller ones, it makes them easily achievable even for those who are super-busy.

7 Quick Time Management Tips That Work!

It’s common to feel like you have a ton of work and not enough time to get it all done. That’s just how it is. We live in a hectic world today and despite all the conveniences of daily life, we have more to do now than ever before.

The best way to remedy this problem is to manage your tasks effectively so you get the most out of your time. Below you’ll find 7 tips that are highly effective. Apply them and you’ll see how powerful they are.

  1. Plan tomorrow today

Planning tomorrow today means spending about 15 to 20 minutes at night before you go to bed – planning out what tasks need to be completed the next day and so on.

Either you’ll be planning your schedule on the laptop or on paper. This will serve as a handy reference to keep you on track with your daily tasks and goals.

  1. Prioritize your tasks

There’s never enough time to get all the tasks done. More will always creep up to bog you down. The best way to get around this is to complete the most urgent and important tasks before the rest.

Do not try to get the menial or unimportant tasks out of the way first. This is a common mistake. By the time you’re done with those, you’ll either be exhausted and unable to do your best when it matters, or you won’t have enough time for the important tasks.

  1. Use checklists

Checklists make things seem more manageable. When you have a lot of tasks at the back of your head, it may all seem more overwhelming.

Writing down what needs to get done and checking them off one by one, will not only make it seem easier, but you’ll have a sense of relief when you complete everything on the list.

  1. Plan your meals

Thinking about food and trying to decide what to eat every single day can be a huge distraction and a time waster. Plan and prepare your meals for the entire week.

This will save you a ton of time. You’ll know what to eat, where the food is and won’t waste time and energy pondering daily about your food choices.

  1. Avoid multitasking

Multitasking is a bad habit. It results in shoddy work and makes people have short concentration spans. Pick one task, focus on it and get it done – then move on to the next one.

Trying to do several things at once does not make you productive. In fact, the opposite holds true. You take a longer time to do the same job and it’s of a poorer quality too.

  1. Block distractions

Turn off notifications on your phone, put it to silent and focus on the work at hand. The world is filled with distractions from beeping messages to advertisements to phone calls and a ton of other things designed to distract you.

To be more productive, you MUST shut out the noise, even if that means appearing “anti-social” to the rest. Water cooler talk, colleagues who drop by to chit chat, social phone calls during working hours, etc. should all be eliminated so that you can get the most from the time you have.

  1. Reward yourself

Reward yourself with a short break when you complete a task. This will give you a mental respite from the stresses of work. It will help you to focus on the next task better.

You may choose to have a coffee or some light food to give you an added boost of energy. One good practice is consuming a tablespoon of coconut oil which not only gives you energy but is great for health. Don’t consume more than one spoon a day though.

Apply these 7 tips and your productivity will go up and you’ll get more work done in a shorter time. You may even find yourself with more time freed up since you’re working with focus and purpose. That’s the best way to gain control of your schedule.

What is Time Management? (Hint, it’s not what you think it is.)

When someone utters the words “Time Management” there are normally two types of reactions. Some cringe or roll their eyes. These folks are either so tired of hearing about how they should be doing things that they just don’t care anymore. Nothing they’ve tried has worked and they’re just done with the whole concept of time management. Who can blame them? Many time management guides and gurus require you to modify your personality to fit their structured program. That’s just not going to happen, right?

The other reaction is to smile and feel a bit of curiosity. These folks are ready, willing and anxious for some tips that actually work. They are either new to the concept of time management or they’ve tried a few things and they have worked so they’re ready for more insight and helpful tips.

Both reactions are normal and to be honest depending on the day you may have felt both reactions.

This report is designed to help you create a time management system that works for you. No personality change is required! (Though you may have to modify some habits.)
