5 Organization Tips for Your Digital Files

A lack of organization of physical or digital files leads to frustration and wasted time by not being able to lay your finger on it right away when you need it. Whether the file folder is a manila folder or a digital one on your hard drive, having everything organized is one key to productivity.

Set up a backup schedule

One of the first “rules” of digital file organization is to frequently back up everything on your computer hard drive either to a cloud-type of storage or to a separate external hard drive connected to your computer. There are several programs that can quietly run in the background and make a duplicate copy as frequently as you want. The advantage of backing up to a cloud is that you can access your files from anywhere as long as you have an Internet connection.

Delete unused bits and bytes

Most of us have at one time or another downloaded an app, report, or created a file that we needed at the time, but since have not used it. If so, delete it, or in the case of an app or software program uninstall it. The same goes for files and folders. Delete what you no longer need or use. And if you accidently delete a file that you shouldn’t have, you can either restore from your Recycle Bin or reload it from your backup.

Set up a file structure

Just as you have manila file folders set up in file drawers, you can do the same thing with digital files on your hard drive. Set up the highest level of digital folders first. This is your file drawer. Then set up sub-folders under each folder. These are the equivalent of your manila folders. Keep creating as many sub-folders within a folder as you need, but don’t go overboard as you can reach a point where it becomes counter-productive.

For example, photos from a trip to the ABC islands might look like this: your highest folder level might be Photos. A sub-folder could be Caribbean 2016. A set of sub sub-folders could be one on each of the places visited: Bonaire, Aruba, Curacao.

File as you go

This is a time saver if you create or download a lot of documents. If you get in the habit of filing something in its proper folder as soon as you create or download it, it saves time at the end of the day trying to get everything where it belongs.

Use shortcuts

For files or apps you frequently use, set up shortcuts on your Desktop. Or alternately, you can pin something to the taskbar making it easy to open.

Once you have a periodic backup schedule, unneeded files deleted, shortcuts in place, a file structure made and everything filed away, you’ll find your digital clutter is reduced to a manageable level and you will save time (and increase productivity) by being able to find everything faster.

However, if you use your computer frequently, you may find that it gets disorganized and it becomes very difficult to find a particular file when you need it. Just like with real documents, it’s important to come up with a way to sort things out. Here’s some advice on keeping your digital files organized and easy to access.

Don’t Overcomplicate

It’s important to not go overboard with the creation of folders and sub-folders. As long as you don’t have a bunch of files cluttering your “documents” directory, you probably have a good understanding of how to maintain your digital storage. Create folders in a way that is easy for you to navigate and understand.

Organize Your File Structure

There are so many different ways you can structure the files on your computer that it’s impossible to go over every possible method. The best way to start is by creating several folders for very broad groups of files and moving all of your files into them. For example, you might sort your files into folders labeled “Work,” “Personal,” and “Games.” Once you’ve done this, you can look in each folder and see how you can sort the contents into even more sub-folders.

Continuing the example from above, you might decide to sort your work folder into sub-folders called “Projects” and “Reports.” While you don’t want your system to be too complicated, don’t be afraid to give it some depth.

Merge Related Files

When software or content is uploaded to your PC, it’s placed in a new folder that the computer creates automatically. While this is a very useful tool, it often results in unnecessary clutter… especially if you use your PC for storing things like photos or videos.

Instead of having several different files labeled “photos”, you can merge them into one central folder designated for photos that you have uploaded to your computer. You can take it a step further and create sub-folders if you want to categorize your files by the date or occasion.

Delete Old, Useless Files

After a while, files have a tendency to be forgotten and wind up doing nothing more than taking up space. Eliminating these unused files frees up space, as well as making your filing system more organized.

A prime source for this sort of clutter is the downloads folder. It’s easy to forget about the installer for an application after it’s done its job. So, it just sits there. If a file isn’t something you use or plan to store, don’t let it hang around.

Stick to Your System

Even if you organize every single file on your computer to your liking, your computer will not stay organized for long. It’s essential that you also sort new files as they come in. Otherwise, you will probably end up with the same mess on your hands that you had when you started.
